Connect dialnote with Pipedrive to manage sales calls effectively

Connecting dialnote to Pipedrive keeps your sales pipeline updated automatically. When calls end, dialnote logs a Call activity on the matching person with all the details—duration, direction, and call outcome. Your team can focus on selling instead of logging.

Connecting Your Pipedrive Account#

The integration uses OAuth, so you won't enter any credentials in dialnote:

  1. Go to Settings → Integrations
  2. Find Pipedrive in the CRM section and click Connect
  3. Pipedrive will ask you to authorize dialnote—click Allow and Install
  4. You'll be redirected back to dialnote with a "Connected" status

Once connected, you'll land on the Pipedrive configuration page where you can manage contact sync and call logging.

Contact Sync#

Contact sync imports your Pipedrive persons (contacts) into dialnote automatically. When a call comes in, dialnote matches the caller to an existing person—showing you their name, company, and history before you pick up.

Sync is one-way for each direction: contacts flow from Pipedrive into dialnote, while call activity flows from dialnote into Pipedrive. dialnote doesn't create new persons in Pipedrive and doesn't push contact edits back.

To enable contact sync:

  1. Open the Pipedrive settings page (Settings → Integrations → Pipedrive)
  2. Toggle Auto Contact Sync to on

The sync runs every 6 hours and pulls these fields:

  • First name and last name
  • Email address (primary email)
  • Phone number (primary phone)
  • Organization name
  • Job title

Choose which contacts to sync#

By default dialnote pulls all your Pipedrive persons. To narrow it down, use the Sync contacts from dropdown:

  • All contacts — pulls every person (the default)
  • A Pipedrive filter — pick any people filter you've saved in Pipedrive to sync only those records

Members of a newly chosen filter get pulled on the next scheduled sync.

Call Logging Options#

In the Event Settings section you pick one event type to log. The options are a single choice (a radio), not separate toggles:

Sync call logs – Creates a Call activity in Pipedrive when a call ends. Includes duration, direction (incoming/outgoing), the from/to numbers, and call status. The activity is marked done and linked to the matching person.

Sync call recordings – Creates a Call activity when a recording is ready. The activity shows the call direction (incoming/outgoing) in its subject and adds a link back to dialnote where you can listen to the recording and read the AI-generated summary (plus any call tags). Unlike Sync call logs, it doesn't include the duration, from/to numbers, or call status.

Disable CRM sync – Turns off automatic call logging. Use this if you only want contact sync without activities.

Enabling Phone Numbers#

You don't have to sync every phone number with Pipedrive. Pick the ones that should log calls:

  1. Open the Pipedrive settings page (Settings → Integrations → Pipedrive)
  2. Scroll to the Phone Numbers section
  3. Toggle on the numbers you want to sync

Only calls from enabled numbers create activities in Pipedrive. Calls from disabled numbers won't—handy for personal lines or numbers used for internal calls.

How Activities Appear in Pipedrive#

When dialnote logs a call, it creates a Call activity on the person record. You'll see:

  • Subject – "Incoming Call" or "Outgoing Call"
  • Type – Call
  • Note – Call duration (minutes:seconds), status, the from/to numbers, and—when recording is on—a link to view the call in dialnote plus the AI summary and tags
  • Due date/time – The exact date and time of the call
  • Done – Marked as completed

The activity appears in the person's timeline, so your whole sales team can see the communication history.

Disconnecting Pipedrive#

If you need to remove the integration:

  1. Open the Pipedrive settings page (Settings → Integrations → Pipedrive)
  2. Click Disconnect
  3. Confirm the action

This revokes the OAuth connection and stops all syncing. Your existing persons and logged activities in Pipedrive won't be deleted—the integration just stops adding new data. dialnote refreshes your Pipedrive login in the background, so you rarely need to reconnect.
