Tags let you group contacts by criteria that matter to your business—whether that's lead status, campaign source, or custom categories you define. They're flexible labels you can add, edit, and filter by at any time.
Adding Tags to Contacts#
You can add tags to any contact from the contact details panel:
- Open a contact by clicking their name in the contacts list
- Click the Edit icon (pencil) in the header
- Find the Tags field in the Details section
- Enter your tags separated by commas (e.g.,
VIP, San Francisco, Q1 Campaign) - Changes save automatically when you click away
Tags are free-form text, so you can create whatever labels make sense for your workflow. There's no need to set them up ahead of time—just type what you need.
Consistent naming helps
Pick a naming convention and stick to it. Tags like "hot-lead" and "Hot Lead" are treated as different tags, so consistency makes filtering more reliable.
Filtering Contacts by Tags#
Once you've tagged contacts, you can filter your contact list to find them:
- Click the Filter button above the contacts table
- Select Tags from the field dropdown
- Choose an operator (equals, contains, etc.)
- Enter the tag value you want to filter by
- Click Apply to see matching contacts
You can combine tag filters with other filters like status, source, or company to narrow down your list even further.
Common Tag Use Cases#
Lead qualification:

Tags vs Contact Status#
Tags and status serve different purposes:

Use status for where a contact is in your sales process. Use tags for everything else—campaigns, segments, notes, or any grouping you need.
AI Call Tags are different
dialnote also has AI-powered call tags that automatically categorize calls based on conversation content. These apply to individual calls, not contacts, and are grouped into four categories: priority, topic, outcome, and action. Each tag gets a color and description so your team can spot patterns at a glance. You can set up AI call tags in Settings → AI Tags.
Bulk Operations with Tags#
When you've filtered contacts by tag, you can perform bulk actions on the results:
- Delete multiple tagged contacts at once
- Export a tagged segment for use in other tools
- View aggregate stats for contacts matching your tag filter
This makes it easy to manage campaigns or clean up old lead lists.
