Analytics Overview

Track call performance, team metrics, and AI agent analytics

Your dialnote analytics dashboard gives you a complete picture of how your phone system is performing. From call volumes and answer rates to AI agent containment and team comparisons, you'll find the metrics you need to make data-driven decisions about your communication strategy.

Getting to Analytics#

Click Reports in the left sidebar to open the dashboard. The page itself is titled Analytics — you'll land on an overview with key metrics, charts, and quick access to the detailed reports.

What You Can Track#

The analytics dashboard breaks down into several key areas:

Overview Metrics - Your top-level numbers appear as cards showing total calls, missed calls, answer rate, and time on calls. Each card includes a mini chart showing trends over your selected date range. If your missed call rate goes above 10%, you'll see a priority alert highlighting the issue.

Voicemails - A dedicated section shows voicemail volumes with a daily breakdown. Click View Detailed Report to open the full Voicemails report.

AI Voice Agent - If you're using AI agents, you'll see total AI calls, containment rate (calls handled without human escalation), average handle time, and estimated cost savings — each with a comparison to the previous period. This helps you measure how well your AI is handling calls. For the full breakdown, see AI Agent Reports.

Call Tags & FCR - On plans that include disposition codes, this section tracks total calls, first-call resolution (FCR) rate, top disposition, AI-handled rate, follow-up rate, escalation rate, and callback-requested rate. See Disposition Codes for what each code means.

Activities Table - See how each team member is performing with total calls, outgoing calls, answered calls, time on calls, and sent messages. Each metric compares the current period to the previous one so you can spot trends. The deeper view lives in Team Performance.

Busy Times Heat Map - A visual grid showing when calls peak throughout the week. Rows represent days (Monday through Sunday), columns represent hours (12am to 11pm). Darker cells mean more calls. You can toggle between viewing all calls, human-handled calls only, or AI-handled calls only.

Available Reports#

Beyond the main dashboard, dialnote offers specialized reports:

  • Call Reports - Detailed call statistics with outcome breakdowns and timeline views
  • Team Performance - Agent rankings, response rates, and shared number analytics
  • AI Agent Reports - Deep dive into AI agent effectiveness, escalation analysis, and sentiment breakdowns

Exporting Data#

Click Export CSV on the main analytics page to download your current view. The export includes per-agent performance metrics (name, email, call counts, outgoing, answered, time on calls, and messages) for the selected date range, so it's easy to share with stakeholders or pull into another tool. The file is named analytics-report-YYYY-MM-DD.csv.

Filtering Your Data#

The main dashboard supports flexible filtering:

  • Date Range - Today, Yesterday, Last 7/30/90 days, Month to date, Quarter to date, Year to date, or custom dates
  • Phone Numbers - Focus on particular lines to compare number performance
  • Tags - Filter by AI-generated call tags to analyze specific call categories
  • Granularity - View timeline data by day or week

Filters carry over when you open a detailed report, so you don't have to re-select them each time.
