The dialnote mobile app puts your business phone system in your pocket. Make and receive calls, manage conversations, and stay connected with your team—all from your iPhone or Android device.
What You Can Do#
The mobile app gives you the same core features as the web version, designed for on-the-go use:
Inbox - View all your conversations in one place. Each phone number shows up as a separate inbox, so you can switch between business lines quickly. Conversations combine calls, texts, and notes in a single timeline.
Dialer - Make calls with a full-featured keypad. The app uses VoIP over your internet connection (WiFi or cellular data), so you don't burn through your phone plan minutes. During calls you can mute, hold, or record with one tap.
Contacts - Access your full contact list, view call history, and tap to dial or text. Create new contacts on the fly when unknown numbers call in.
Team - See who's available, set your own status (Available, Away, Do Not Disturb), and route calls appropriately. Your status syncs instantly across mobile and web.
Analytics - Check call metrics, missed call rates, and team performance from anywhere. The same reports you'd see on desktop, formatted for your phone.
Push notifications
The app sends push notifications for incoming calls, new texts, and voicemails. You'll never miss an important call, even when the app is closed.
How Calls Work#
The mobile app connects to dialnote's phone system over the internet. When you make a call, it goes out from your business number—not your personal cell number. Callers see your business caller ID, and all calls get logged automatically.
For incoming calls, you'll get a push notification with the caller's info (if they're in your contacts). Accept the call and you're talking through your business number. The app handles audio routing to your phone's speaker, earpiece, or connected Bluetooth devices.
Internet required
Calls require an internet connection. WiFi works best, but cellular data (4G/5G) handles calls fine too. If your connection drops during a call, you'll lose the call.
Navigation#
The app uses a side menu for main navigation. Swipe from the left edge or tap the menu button to access:

A bottom navigation bar gives quick access to the four main tabs: Inbox, Dialer, Contacts, and Team.
Permissions#
The app needs a couple of permissions to work properly:
- Microphone — Required to make and receive calls. The app can't connect audio without it.
- Notifications — Required to alert you about incoming calls and messages when the app is in the background.
You'll be prompted to grant these on first launch. If you accidentally decline, the app shows a permission warning screen with a link to your device's settings.
Microphone is mandatory
Without microphone access, you won't be able to make or receive any calls. If calls aren't connecting, check your device settings to make sure dialnote has microphone permission.
App Settings#
The Settings screen gives you quick access to:
- Appearance — Switch between Light, Dark, or System theme
- Notifications — Manage push notification preferences
- Billing — View your current plan and wallet balance
- Organization switching — If you belong to multiple workspaces, you can switch between them without logging out
Platform Support#
The app runs on both iOS and Android:
- iOS — Requires iOS 15 or later. Download from the App Store.
- Android — Requires Android 10 or later. Get it on Google Play.
Both versions support the same features. Sign in with your dialnote account (email/password, Google, Microsoft, or Apple) and you're ready to go.
